Adding equipment to your fleet is quick and simple:
Go to Asset overview page.
- Click on the “+Add” button.
- Select the category and the subcategory for equipment you are looking for, then click on “Next”.
- Select your equipment, then click on “+Add”. If there is much equipment from multiple manufacturers, you can filter by brand to facilitate your search.
- Equipment is now created in your asset. Click on the edit icon in each section to fill in the required information.
A. General information
- SKU: Manufacturer product number.
- Serial Number (S/N): From manufacturer.
- Batch Number: From manufacturer.
- Equipment ID: Internal identification number.
B. Location
- Department: The department in which the equipment is located.
- Unit: The specific unit where the equipment is situated.
- Comments: Additional information to help identify or locate the equipment.
- Fixed Equipment: Select this option if the equipment is permanently installed.
- Associated equipment name/number: Name or identification number of related equipment.
- Coordinates: Geolocation of the equipment.
C. Calibration/Inspection
- Report type: Choose calibration or inspection as per the case.
- Interval: Number of months between each calibration/inspection.
- Comments: Add remarks regarding the maintenance status.
- Date: Indicates the date of the last calibration/inspection (entered manually when a certificate or inspection form is uploaded).
- Due: Indicates the date of the next calibration/inspection (automatically calculated based on the maintenance date and defined interval).
D. Timeline
- Service Life: Refers to the period during which equipment remains safe, reliable, and fit for its intended use.
- Manufacturing Date: From manufacturer (if available).
- Different than manufacturing date: Select this option only if the service life depends on the date of the first use instead of the manufacturing date.
- Commissioning Date: Date of the first use.
- Inactive Date: Refers to the date when the equipment is officially taken out of service and no longer used.
⚠️ NOTE: The inactive date is calculated based on the service life and the manufacturing or commissioning date.
- Decommission: Select this option if the equipment become out of service (inactive) before the end of the calculated service life.
⚠️ NOTE: After selecting this option the current date is recorded, and the equipment is permanently retired.
⚠️ NOTE: Once decommissioned, this instrument will be archived and can no longer be edited. This action is irreversible. All documents will remain available for consultation.
E. Owner
- Name: Name of the equipment owner.
- Owner ID: ID number of the equipment owner.
- Company: Name of the company that the equipment owner work for.
F. Operational Status (based on your user role):
- Use the toggle in the top-right corner to set the equipment’s operational status. It switches between “In Operation” and “Under Maintenance”.
After filling in the required information, click Save then on Asset overview to return back to the home page.
